In software terms, Asset Management is a system designed to monitor, maintain, upgrade and track the movement of company assets. The method by which assets can be tracked are with the use of barcodes or RFID tags. RFID tags are more complex as they have the ability to have information stored and updated (write/re-write facility). RFID tags can also track the location of goods via GPS and also temperature fluctuations of goods during transit. Assets can be Tangible or Intangible. Tangible relates to both Current and Fixed Assets such as stock and inventory and can refer to equipment and buildings. The term Intangible Assets can relate to such things as computer programs, copyrights, patents and company trademarks.

Asset Management, Asset Tracking.

Asset tracking & management software is implemented to control all aspects of an asset’s life cycle from purchase to disposal. Asset tracking & management software enables you to track valuable assets, from software and IT assets, to vehicles, tools, medical equipment. It can be used for managing assets across a number of industry sectors in manufacturing, Oil & Gas, government, education and healthcare.

The software can be standalone, client server, cloud , web-based and offered on a subscription basis. Asset tracking primarily uses barcodes and requires complimentary hardware such as a mobile computer and barcode scanners, bar code printer and mobile asset tracker software. The tracking method can, however, be adapted for use with RFID, Smart Cards, Serial Numbers or any other unique identifier.

Once the bar codes have been printed and fixed to the asset, the auditing, tracking management and maintenance can commence. The result is that at the end of an audit, you can immediately print out a list of all items that are missing allowing maximum time to find misplaced assets.

Asset tracking software can integrate into a WMS (warehouse management software) and monitor service contracts and schedules. The software can also assess current values of stock and calculate depreciation value for single or multiple items or batches. With asset tracking software, you can accurately account for all assets across each store, facility and the lifecycle of each asset, from procurement to retirement, with real-time data available on-line via a browser. Mobile asset tracking can be performed by using an app on any smart phone or tablet and are available as a SaaS solution (software as a service) lowering the overall costs associated with hardware purchases, server maintenance and software upgrades.

Inquiries can be performed based on description, category, SKU (stock keeping unit), purchase date, location or other variables, with reconciliation against manifests made possible to identify quantity or other variances.

Assets can be tracks according to division, department, employee, contractor or other category. Automated data acquisition is built in with support for barcode scanning, RFID tagging, graphical mapping and global positioning system (GPS) integration, which allows you to pinpoint exact coordinates for anything you need to find wherever it is located.

In field service applications, works orders can be created and maintenance tasks can be scheduled. Reminders can be sent via email and SMS to the relevant contractors/maintenance personnel to remind them to complete scheduled as well as to notify them of overdue work orders and tasks. Notes, images and other data can be attached to the work orders and tasks providing an invaluable management system.

Software Asset Management (SAM) is a best practice incorporating a set of proven processes and procedures for managing and optimising an organisation's IT assets. The goals of SAM are to reduce information technology costs and limit business and legal risk related to the ownership and use of software. SAM technologies track license expiration, thus allowing the company to function ethically and within software compliance regulations
