SYSPRO makes the right connections for interior design firm

Leading interior design firm, Connections in Design, is implementing the SYSPRO enterprise resource planning (ERP) solution to support the demands of a growing business.
 
Based in Birmingham, Connections in Design was established in 1985 on the enterprise allowance scheme by owner, Dawn Kitchener.  Since then, she has developed the company into a multi award-winning organisation, employing 75 people and providing a complete design and fit-out service for the show homes of some of the countrys biggest house builders - it supplies everything from soft furnishings to accessories and pictures.   
 
Despite recent rapid growth (turnover has doubled to 10 million in the last five years), management and business processes at Connections in Design were still dependent on information stored on disparate, unsupported IT systems and databases, or in the heads of key members of staff.  It approached business consultant, Mike Mason, for help in selecting and implementing a fully-integrated ERP system.
 
The search for a system began in December 2005 and this month the company selected K3s SYSPRO after an exhaustive shortlisting and selection process.  The 27-user ERP system will help improve efficiency and control throughout the business.
 
Mike Mason: We went for K3 because they had a depth of knowledge the other suppliers didnt; the ability to help us develop our own processes and systems - it isnt just an IT implementation, we are using the IT as an agent of change for the entire business.  The new system will allow us access to key management information in real time, improving the accuracy and timeliness of everything from forecasting and cash flow predictions to procurement and inventory management.
 
Stock control is a key issue for the business and the new SYSPRO inventory management system will provide complete visibility of the companys 1 million of stock, whether it is still on site or in storage at one of three warehouse locations.  The SYSPRO Mobile module will allow stock movements to be recorded in real time using hand-held devices, thus reducing time spent on stock-takes.
 
Whether sourced from stock, or specifically purchased for the project (via the internet or from existing suppliers), individual items for fit-outs will be stored in the SYSPRO system and a new stock control interface will include images of individual stock items, aiding the design and quotation processes.  Mike Mason explains:  Essentially, the detailed costings are done by our designers - they are given a budget to work to and source products accordingly.  Its important they can see what the furniture looks like so that it fits in with the overall design theyre working on - and if its a stock item, whether its available.  Without the SYSPRO system, the only other option is to walk down to the stores to see if the item is there, before including it in a quotation; but thats not the end of the problem, because in the two or three weeks it takes to negotiate the contract, that item may be taken for another job.
 
The SYSPRO system gives us a single database of information, accuracy-guaranteed, that everybody can have confidence in.  When the business is growing as fast as it is, its critical we have access to the information required for effective and timely decision-making.
