AIM Company of the year chooses Image Integrators for Invoice processing and automated data capture solution

Mears Group PLC, AIM Company of the Year 2003 and national provider of facilities and support services to the public and private sector has chosen Image Integrators to deliver an onsite document management solution. The new solution promises to be tightly integrated with the companies Lotus Notes based purchase order system and have further scalability to integrate with a new financial system scheduled for implementation.

Due to the organisations considerable growth within their respective markets, Mears Group PLC explored the document management market to find an organisation capable of meeting both the Lotus Notes and Microsoft requirements of the company, in addition to having the development capabilities and innovation required for a custom, seamlessly integrated solution.

With the new solution, purchase invoices will be scanned upon receipt, with 80% of the invoice data being automatically captured, ensuring that finance staff key only 20% of the invoice information. All invoice data will then be posted to the purchase order system for automatic matching against the original purchase order. In instances where invoices do not automatically match purchase order information, the system will automatically route the invoice image for querying and subsequent approval by Mears Group finance staff.

The solution will also present the organisation with the highest levels of invoice transparency - users can view the original scanned invoice image from both the purchase order system and remotely through a web browser. With Mears Group striving to reduce the amount of paper generated, the new solution will also be capable of receiving XML information from suppliers.
